Set up custom fields
Add extra client information and dates your firm needs.
Add a custom field
Use a custom field when the firm needs information that does not already have a standard field.
- Open Settings → Custom fields.
- Select Add custom field.
- Enter a clear name and choose the appropriate field type.
- Complete the options shown for that type and select Save custom field.
- Open an applicable Entity to check that the field appears and can hold the expected value.
Field reference
| Field | What to enter |
|---|---|
| Name | A distinct name colleagues will recognise. Names cannot duplicate another custom field in the firm. |
| Type | Text, Date, Boolean (Yes / No), Integer, Decimal, or Money. Money includes an amount and currency. The type is fixed after creation. |
| Client Types | The client types for which the field appears. Select at least one. |
| Applies to | All clients, Only selected clients, or All except selected clients. The selected Client Types still apply. |
| Clients | The Entities to include or exclude for either selected-client option. Choose at least one, and keep them within the selected Client Types. |
Values are optional and are entered in the Entity’s business details. Creating a field does not fill those values for existing clients.
Narrowing the audience can remove stored values. If affected values are shown, review them before Confirm and remove values. Cancel to retain the existing audience. Ziffa also blocks a change that would leave a linked date-based Job Template without its required field.
Use a Date field for information that must be used as a scheduling date. A text value that looks like a date is not the same as a Date field.
To schedule work from it, select the field in the appropriate Job Template and fill in the Entity’s value. Creating a custom field alone does not create Jobs.
Review usage
Usage has its own section in Settings. Follow Review your firm’s usage to check the period, units, and allowance.
Where to go next
For the core setup, return to Configure your firm. For daily work, use Work with recurring Jobs or Request missing documents.
