# Set up Document Filing

Choose where documents go and how their folders and filenames are formed.

## Choose a destination

1. Confirm the firm's [storage connection](https://ziffa.io/user-guide/settings/integrations) is working.
2. Open **Settings → Document Filing**.
3. Find the document category you want to configure.
4. Choose the appropriate folder destination using the filing board's controls.
5. Use **Edit** to open the category's additional settings.
6. Set any optional subfolder and filename templates. Use the available field choices and check the preview.
7. Save the change and confirm the destination shown on the board.

The category describes the type of document being filed. Configure the folder to match the firm's filing policy, rather than the name of one example client.

## Filing controls

| Control | What it changes |
| --- | --- |
| **Folder** | The destination for this document category. **Default (uses category name)** keeps the category's normal folder. Selecting a destination saves that choice. |
| **New folder…** | Enter a destination that is not already listed. Check its spelling and path before saving. |
| **Rename everywhere** | Renames the folder choice for every category using it. Already-filed documents stay where they are. Check which categories share the folder first. |
| **Subfolder template** | An optional rule for a folder below the category's destination, using document or client values. Blank keeps the default. |
| **Filename template** | An optional naming rule for the filed document. Blank keeps default naming. |
| **Variables** | Insert an available value into the selected template. Check the preview rather than typing a field name from memory. |

Use **Save** in the template editor to keep the subfolder and filename rules. Invalid rules must be corrected before they can be saved.

## Defaults and Service-specific rules

The filing setup can include firm defaults and Service-specific rules. Check which one you are editing before saving: a general rule can affect more than one Service.

Use the preview to confirm how an example filename and path will look. Missing or incorrect field values can lead to an unexpected result.

## Check the result

After a suitable document finishes processing, open its details and check the storage folder path and filename. Use **Open file** to inspect the stored file where available.

Changing a filing rule does not mean every file already stored has moved. Read any move notice shown by the app, and check existing files separately when a move is part of your change.

If a file is stuck, check its processing status and review reason before changing the folder rules. See [Resolve documents needing attention](https://ziffa.io/user-guide/resolve-documents-needing-attention).
